The short version
- Your business data belongs to you. We process it only to run Fuelbotics for you.
- We never sell personal data.
- All connections use encrypted HTTPS, and each business's data is kept separate.
- You can ask us to access, correct or delete your personal data.
1Who we are
Fuelbotics provides cloud software for fuel station operators. This policy covers our website at www.fuelbotics.com and the Fuelbotics platform at portal.fuelbotics.com (together, the "Service").
Our office is at WeWork, Al Khatem Tower, Al Maryah Island, ADGM, Abu Dhabi, United Arab Emirates.
2Information we collect
- Enquiries: when you use our contact, demo or quotation forms, we collect your name, company, email, phone number, address (if given), the plan you're interested in, and your message.
- Chat assistant: messages you type are sent to our server so the assistant can answer. We don't store these conversations on our servers; your browser keeps the conversation until you close the tab.
- Account details: for platform users, your name, email, username, profile photo (optional) and password. Passwords are stored in hashed form, never as plain text.
- Business data you enter: stations, pump readings, sales, stock, customers, suppliers, employees, payroll, expenses, and any documents you attach.
- Technical data: IP address, browser type, device information, time zone, and the dates and times you use the Service.
- Billing records: invoices and payment history for your subscription. Payments are arranged directly with our team; we don't collect card details on our website.
3How we use your information
- Provide the Service, including dashboards, reports, alerts and the features in your plan.
- Set up your account, onboard your stations and provide support.
- Respond to enquiries, demo requests and quotations.
- Send service emails, such as welcome messages, password resets and quotation updates.
- Keep the Service secure, for example by limiting repeated requests and preventing misuse.
- Understand how our website is used so we can improve it.
- Meet legal obligations and enforce our Terms & Conditions.
4Legal bases
Where the law requires a legal basis, we process your data because it's necessary to deliver the Service under our contract with you, for our legitimate interests in running and securing the Service, with your consent (for example, for certain marketing), or to meet legal obligations.
5Cookies & similar technologies
- Essential cookies keep you signed in to the platform and protect forms against forgery.
- Analytics: our website uses Google Analytics to understand which pages are visited and how.
- Browser storage: the chat assistant keeps your current conversation in your browser's session storage, which clears when you close the tab.
You can block or delete cookies in your browser settings. Some features, such as signing in, won't work without essential cookies.
6Sharing & disclosure
- Service providers: our hosting, email delivery and website analytics providers process data on our behalf to run the Service.
- Legal: where needed to comply with the law, protect rights, or respond to lawful requests.
- Business changes: as part of a merger, acquisition or asset transfer, with notice where required.
We do not sell personal data.
7International transfers
If your data is transferred outside your country, we use appropriate safeguards, such as contractual clauses, as required by applicable law.
8Data retention
We keep personal data only as long as needed to provide the Service, respond to your enquiry, and meet legal, accounting or reporting requirements. After that, it is securely deleted or anonymised.
9Security
We protect your data with encrypted HTTPS connections, hashed passwords, separation of each business's data, and per-user permissions that control who can view, add, edit or delete records. The platform also records who created and changed entries.
No method of transmission or storage is 100% secure, but we work to continually improve our protections.
10Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or export your personal data, and to object to certain processing. Platform users can update their profile details in the portal at any time.
To make a request, email [email protected]. We'll respond in line with applicable law.
11Changes & contact
We may update this policy from time to time. We'll post the new version here and update the "Last updated" date. If changes are significant, we'll give additional notice.
